01How it listens
It hears only people who said yes.
The host turns Chair on in the builder, so it starts with the meeting, or with one button in the room. What it hears depends on where you meet, and everyone can see it's on.
In a video call: the captions of people who agreed
Each person is asked first, and the card says what Chair does. Chair reads only the live captions of people who said yes. Anyone who says not now isn't heard.
In one room: that laptop's microphone
With no call, Chair hears the microphone of the window running the meeting, and the room is told. Phones in the room show it too.
Everyone sees it's on
A notice on the room's screen, on every phone and in the guest call, for as long as Chair is on.
Only from when it's on
Nothing said before Chair was switched on is ever sent. Switch it off and nothing more is heard for Chair.
No audio, ever
Speech becomes text in each person's own browser. Agendiq stores no audio, and calls are never recorded.
02In the room
It does the chairperson's chores, and asks first.
Chair offers, the host decides. It never invents an owner or a date, it stays quiet when it isn't sure, and it never shows the same thing twice.
Decisions and actions, with the words it heard
Every card shows what was said. An owner is only someone in the meeting or a name that was said, and a due date only one that was said. Record it, fix it first, or dismiss it with Not that.
It follows the talk to the next item
When two looks in a row say the talk has moved on, Chair offers to move there in 8 seconds. Stay keeps you put, and it won't offer that item again for 3 minutes.
A decision item can't close empty
Moving on from a decision or vote item with nothing decided asks first: decide now, park it, move on, or stay. A vote people voted in has its result, so it never asks.
Running over? Finish on time
When the meeting is heading 2 or more minutes over with items still to come, Chair shows by how much. Finish on time shortens the discussions, updates, brainstorms, check-ins and follow-ups still ahead, never below a floor. Decisions, votes and the wrap-up keep their time.

Two things every plan gets, with no AI and no credits: the meeting shrinks to what still needs the room, and whatever is left open is on the next agenda the moment it ends.

The meeting that shrinks itself
Invitees answer your questions on agenda items from their invite link: agree, a concern, or let's discuss. An hour before the start, or as soon as everyone has answered, items everyone agrees on are settled with a minute to confirm in the room. Everyone is emailed what's settled and the new length; you see what changed and can restore any item. One tap asks about every discussion and decision.
After
The next meeting, ready at once
Items left open (parked, moved on from without a decision, never reached, or a decision with nothing decided) go onto the next meeting the moment this one ends: the series' next meeting, or a drafted follow-up with no date that nobody is emailed about yet. Your recap says how it went.
04Privacy
What Chair hears, sends and keeps.

- Nothing itself. A card becomes part of the meeting's record only when the host confirms it.
- No audio. Agendiq stores none, and calls are never recorded.

What is an AI meeting assistant?
Software that listens along to a meeting and helps with it. Most record and transcribe the call, then summarise it afterwards. Chair, Agendiq's assistant, works during the meeting instead: it follows the agenda, offers the decisions and actions it hears for the host to confirm, and helps the meeting move on and end on time.
Does Chair record the meeting?
No. Agendiq stores no audio and never records calls. Chair reads the newest part of what's said as text, a few times a minute, and keeps nothing itself: a decision or action becomes part of the meeting's record only when the host confirms it.
Who has to agree before Chair hears them?
In a video call, everyone. Chair reads only the live captions of people who agreed, and each person is asked first, with a card that says what Chair does. Without a call, in one room on one laptop, Chair hears that laptop's microphone and the room's screen says so. Everyone sees when it's on.
Can Chair change the meeting by itself?
It never records a decision or an action by itself. The one thing it can do on its own is follow the talk to another agenda item, after an 8-second countdown that the host can stop with Stay. After Stay it doesn't offer that item again for 3 minutes, and it can't leave a decision item with nothing decided without asking.
How much does Chair cost?
Chair comes with Pro and Team, and with the 14-day free trial. It uses 2 AI credits per 10 minutes it listens. Pro includes 240 AI credits a month, about 20 hours of Chair if they go to nothing else; Team includes 400 per facilitator, pooled. Which AI does Chair use, and is our data used for training?
Chair uses Anthropic's Claude models through the Anthropic API. It sends the newest part of what's said, the agenda and the names of the people in the meeting. Under Anthropic's commercial terms this data is not used to train their models.
Which browsers can Chair hear?
Captions are made in each speaker's own browser. Chrome, Edge and Safari can make them; Firefox can't, so people speaking from Firefox aren't captioned and Chair doesn't hear them. Without a call, the laptop running the meeting needs one of those browsers.
How is Chair different from Otter and other note takers?
Note takers record the meeting and hand you a transcript and a summary afterwards. Chair records nothing: it works on your agenda while the meeting runs, and the host decides what goes on the record. You leave with confirmed decisions and actions, not a transcript to read.
