Privacy Policy
This explains what Agendiq does with personal data, in plain language. Last updated 3 October 2026.

Who we are
Agendiq is operated by [company name], registration no. [registration number], [registered address]. Contact: [email].
For people who use Agendiq to run meetings (facilitators), we are the controller of their account data. For people who join someone's meeting (participants), the team running the meeting is the controller, and we process that data on its behalf as a processor.
The short version
- We never record audio or video. Calls are live only.
- Votes are anonymous: nobody, including the host, can see who chose what.
- Participants never need an account, and are asked only for what the host chooses (nothing, a name, or a name and email).
- We don't sell personal data, show ads, or use tracking or analytics cookies.
- Your database is stored in the EU (Ireland).
What we collect and why
- Your account: email address, name, and profile picture if you sign in with Google. Used to sign you in and run your account (legal basis: contract, GDPR Art. 6(1)(b)).
- What you create: agendas, meetings, notes, decisions, actions, templates, presentations and any images you upload to them. Stored so the service works for you and your team (contract).
- Your team: who is in your team, their roles, and the email addresses you invite. Used to share your workspace (contract).
- Usage needed for your plan: how many minutes each person spends in a video call, so plan limits and pay-as-you-go video can be counted (contract).
- Payments: your plan, subscription status and invoices. Card details go directly to Stripe; we never see or store them (contract; keeping invoices is a legal obligation, Art. 6(1)(c)).
- Security: Agendiq uses IP addresses briefly, in memory, to limit abuse such as too many requests. Our hosting and database providers keep standard server logs, including IP addresses, for a short time for security and troubleshooting (legitimate interest in keeping the service secure, Art. 6(1)(f)).
You can try Agendiq without an account: then your meetings stay in your own browser and are not sent to us.
If you join someone's meeting
The host decides what to ask for: nothing, your name, or your name and email. You see this before you join. If you join with a personal invite link, the link tells the host who you are. Your phone gets an invisible, anonymous session so you can take part without an account.
The host's team can see your name and email (if given) and how you took part: when you joined and left, how long you were present, your share of talk time in a video call, your check-in mood and word, the ideas and answers you sent, how many votes you cast, your reactions, and actions assigned to you, per meeting and over time.
Talk time is measured as numbers only; nothing you say is recorded or transcribed by Agendiq. To see, correct or delete your data, ask the team that invited you (they can remove you in one click), or write to the contact email above and we will pass it on.
AI features
When you ask Agendiq to draft an agenda or a presentation, or to write up a captured note, the text you entered is sent to Google's Gemini models through Google Cloud Vertex AI to produce the draft. Under Google Cloud's terms this data is not used to train Google's models. AI drafts can be wrong; check them before you rely on them.
If you use “Listen” to pre-fill captures, speech is turned into text by your browser's speech service under that browser maker's terms. Agendiq keeps only the last few minutes of that text, in memory on your device.
Who processes data for us
- Supabase: database, sign-in and sign-in emails. Data stored in the EU (Ireland).
- Vercel: hosting of the website and app.
- Google Cloud (Vertex AI): the AI features above. Google sign-in, if you choose it.
- Stripe: payments, when you buy a plan.
- Inbox.eu: sends invitation and sign-in emails. Based in the EU (Latvia).
- LiveKit: live video calls, not recorded, when you start a call.
Each acts on our instructions under a data processing agreement. Some of them may process data outside the European Economic Area; such transfers rely on the EU Standard Contractual Clauses or the EU–US Data Privacy Framework.
Cookies and storage on your device
We only use what is strictly necessary for the service to work, so no consent banner is needed:
- Sign-in cookies from Supabase, which keep you (or your phone in a meeting) signed in.
- One cookie,
agendiq_team, which remembers which team you are working in. - Your browser's local storage for meetings you build without an account, your name for rejoining meetings, and settings such as sound.
We use no analytics, advertising or tracking cookies.
How long we keep it
- Your account and what you create: until you delete them, or delete your account (Settings → Delete account).
- People in a team's directory who haven't joined any of the team's meetings for 365 days are deleted automatically, every night.
- Invoices and payment records: as long as accounting law requires.
- Database backups are overwritten on a rolling basis by our database provider.
Your rights
Under the GDPR you can ask for access to your data, correction, deletion, restriction of processing, a copy to take elsewhere (Settings → Export everything does this yourself), and you can object to processing based on our legitimate interests. Write to the contact email above; we answer within one month.
You can also complain to a data protection authority. In Latvia that is the Data State Inspectorate (Datu valsts inspekcija), or the authority where you live or work.
Children
Agendiq is not meant for children under 16, and we don't knowingly collect their data.
Changes
If we change this policy, we update the date at the top. If a change matters for how your data is used, we tell account holders by email or in the app before it takes effect. See also our Terms of Service.
