Weekly team meeting agenda

30 minutes 5 blocks Free template

Most weekly team meetings fail the same way: updates eat the whole slot, blockers never get raised, and the one decision the team needed gets pushed to next week.

Why it works

Built so the weekly team meeting agenda ends on time, with everyone in it.

  • Every voice in the first minutes

A 3-minute check-in: everyone sends a mood and one word from their phone, and it shows on their tile in the call. People who speak early speak again.

  • Updates stay short

5 minutes of updates with a visible clock. In a video call the speaker is spotlighted and the room is muted, so nobody talks over them.

  • Discussion with a clock

10 minutes of open floor with a countdown everyone can see, and a talk-balance meter so the loudest voice doesn't take all of it.

  • It ends in a decision

Capture the decision and its owner with one click while it's said. It lands in the summary, word for word.

  • Wraps up on time

Decisions and actions are read back, the summary is already written, and a finish on time earns the confetti.

How to run it

  1. 1Send the agenda the day before so updates can be read, not presented.
  2. 2Keep the wins block to numbers and one sentence each. If a win needs discussion, move it to the blockers block.
  3. 3In the blockers block, ask for a name next to every blocker before moving on. Unowned blockers stay blocked.
  4. 4Capture the week's top priority as a decision while it is said. One decision, written down, beats three remembered differently.
  5. 5End on time. If the discussion runs long, use the +5 min once and then park the rest in the summary.

About this meeting

This weekly team meeting agenda template protects the three things that matter: what is blocked, who can help, and what the top priority is this week. Thirty minutes, five blocks, drawn to scale so everyone sees how much time each part gets.

Questions about the weekly team meeting agenda

What should a weekly team meeting agenda include?
A short check-in, last week's results, current blockers, one decision about this week's priority, and a wrap-up with actions and owners. Anything else belongs in writing or a separate meeting.
How long should a weekly team meeting be?
Thirty minutes is enough for most teams up to ten people. If you regularly need more, the updates are probably being presented instead of pre-read.
How do you keep a team meeting on time?
Give every block a time budget, show the clock to everyone, and have a facilitator move the meeting on. Agendiq draws the agenda to scale and runs a countdown per block on a shared screen.
Who takes notes in a weekly team meeting?
Nobody should have to. Capture decisions and actions the moment they are said; the summary writes itself from those captures.
