Why it works

Built so the annual general meeting (agm) for charities and associations ends on time, with everyone in it.

  • Every voice in the first minutes

A 5-minute check-in: everyone sends a mood and one word from their phone, and it shows on their tile in the call. People who speak early speak again.

  • Updates stay short

30 minutes of updates with a visible clock. In a video call the speaker is spotlighted and the room is muted, so nobody talks over them.

  • Discussion with a clock

20 minutes of open floor with a countdown everyone can see, and a talk-balance meter so the loudest voice doesn't take all of it.

  • A vote the whole room sees

One tap each on a phone, live bars on the screen. A tick shows who has voted, never what they chose.

  • Wraps up on time

Decisions and actions are read back, the summary is already written, and a finish on time earns the confetti.

How to run it

  1. 1Check your governing document: it says whether an AGM is required and whether virtual or hybrid meetings are allowed.
  2. 2Give proper notice; the Charity Commission guidance cites at least 3 weeks as reasonable, and 14 days for charitable companies.
  3. 3Decide the voting method in advance, explain it at the start, and use a neutral counter; in large groups a poll or ballot is preferred to a show of hands.
  4. 4Set aside time for members' questions, and explain each resolution's effect before it is voted on.
  5. 5Don't let the chair propose their own re-election or trustees propose resolutions they have an interest in.
  6. 6Minute the resolution wording, reasons and any conflicts, and send minutes and action points afterwards.
