In short

A Robert's Rules agenda follows the standard order of business: minutes, reports of officers and committees, special orders, unfinished business and new business. This 60-minute template adds the chair's wording and the six steps of a motion in the notes, and a phone vote that works like a ballot when your bylaws call for one.

What's inside

By the end of this meeting, the assembly takes up its business in the standard order and every motion is handled and recorded correctly. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Send the agenda with the minutes and written reports ahead, so the meeting is for decisions.
  2. 2Follow the standard order of business unless your bylaws set a different one.
  3. 3Use the chair's wording in the notes, and walk every motion through the six steps.
  4. 4Use the anonymous vote only when your bylaws call for a ballot or the assembly orders one.
  5. 5The summary records each motion and vote as it happens, ready for the secretary's minutes.

Questions people ask

What is the standard order of business in Robert's Rules?
Reading and approval of minutes, reports of officers, boards and standing committees, reports of special committees, special orders, unfinished business and general orders, and new business, between the call to order and adjournment.
How do you make a motion under Robert's Rules?
Get recognized by the chair, say "I move that…", wait for a second, then the chair states the motion, the assembly debates it, and the chair puts it to a vote and announces the result.
What is parliamentary procedure?
The rules and customs that let a group make decisions fairly and efficiently: one item at a time, the majority decides, and the minority is heard. Robert's Rules of Order is the most widely used guide in the US.
