What's inside

By the end of this meeting, the group understands the main variances, agrees the year-end forecast and has decided what to approve, cut or move. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Send the budget-against-actual report and the variance threshold at least two days before.
  2. 2Look at where you stand before discussing variances, and separate timing differences from real ones.
  3. 3Ask for savings and reallocation ideas from everyone, not only finance.
  4. 4Write each decision with its amount and budget line, then vote on the revised budget.
  5. 5Send the summary with the decisions and owners, and tell budget holders the outcome the same week.

Questions people ask

What should be discussed in a budget meeting?
Actual results against budget, the biggest variances and their causes, the forecast to year end, savings or reallocation options, and the decisions needed with owners.
How do you present a budget in a meeting?
Start with one page showing budget, actual and the difference by main line. Explain only the variances over your threshold, then show the forecast and the decisions you're asking for.
How often should you hold a budget meeting?
Monthly or quarterly reviews are common, plus a longer planning meeting before each new budget year.
