Why it works

Built so the hospital safety huddle ends on time, with everyone in it.

  • Every voice in the first minutes

A 1-minute check-in: everyone sends a mood and one word from their phone, and it shows on their tile in the call. People who speak early speak again.

  • Discussion with a clock

6 minutes of open floor with a countdown everyone can see, and a talk-balance meter so the loudest voice doesn't take all of it.

  • Updates stay short

2 minutes of updates with a visible clock. In a video call the speaker is spotlighted and the room is muted, so nobody talks over them.

  • Wraps up on time

Decisions and actions are read back, the summary is already written, and a finish on time earns the confetti.

How to run it

  1. 1Hold it at the start of each day or shift, at the same time and place, standing at the visual board.
  2. 2Run a visible ten-minute timer; IHI suggests ten minutes or less, ideally five.
  3. 3Check that the right people attend, and keep the questions relevant to the unit.
  4. 4Log each concern on the board with an owner and follow it up at the next huddle.
  5. 5Track outcomes from huddle items so staff see the value and do not treat it as extra work.

Questions about the hospital safety huddle

How long should a hospital safety huddle be?
IHI recommends ten minutes or less, ideally five or less. IHI's examples range from 3–5 minutes in physician offices to 45-minute morning briefings in skilled nursing facilities.
What is on a safety huddle agenda?
IHI's standard five items: concerns and successes from the past day or shift, issues for today's patients plus equipment and rooms, the tracked issues on the visual board, anything else anyone wants to raise, and announcements and hand-offs to other units.
Why do staff resist safety huddles?
IHI notes staff can see huddles as extra work. Its fixes are to track outcomes to show value, keep to a ten-minute timer, make sure the right people attend and keep the questions relevant.
