In short

A hiring manager intake meeting is the kickoff between a recruiter and a hiring manager before a search starts. This 30-minute agenda agrees what success in the role looks like, three must-haves, a scorecard of four to six competencies, the interview loop, the pay band and feedback timelines.

What's inside

By the end of this meeting, recruiter and hiring manager agree the role's outcomes, must-haves, scorecard, interview loop and timeline. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Send the hiring manager the questions a day ahead and ask them to bring example profiles.
  2. 2Push for outcomes before requirements; agree what success looks like before what the résumé should say.
  3. 3Leave with a scorecard and an interview loop where each interviewer owns specific competencies.
  4. 4Use the summary as the role brief, and book the calibration check after the first few candidates.

Questions people ask

What questions should a recruiter ask in an intake meeting?
Why is the role open? What does success look like in 6 and 12 months? Which requirements are true must-haves? Who would you hire tomorrow? Who interviews for what? How fast will you give feedback?
What is a hiring scorecard?
A short list of the competencies a role needs, each with a description of what good looks like, so every interviewer scores candidates against the same bar.
How long should a recruiter intake meeting take?
About 30 minutes when the hiring manager has seen the questions ahead. Senior or new roles can need 45.
