The follow-up email

Subject

Welcome aboard: your role, buddy and first shift

Thank you for coming to orientation. Here's everything in one place.

Your role: ______
Your buddy: ______ (phone ______)
Your first shift: ______ (date, time, where to go)
What to bring: ______

Who to call
Volunteer lead: ______
Safeguarding lead: ______ (tell them the same day if anything worries you)
If you can't make a shift: ______

The essentials
1. Tell the volunteer lead the same day if something worries you about someone's safety.
2. What you hear here stays here.
3. Know the fire exits and first aid kit.
4. Keep receipts for agreed expenses.

We'll check in after your first month. Thank you.

How to run it

  1. 1Replace the mission, numbers, roles and policies in the deck with your own, and name your safeguarding lead.
  2. 2Open with the check-in word cloud and read the answers aloud; it sets a warm tone for the whole session.
  3. 3Use the scenario polls to talk through what to do, and spend time on any question where the room splits.
  4. 4Have volunteers pick a role on their phones, then pair everyone with a buddy and a first shift before they leave.
  5. 5Send the welcome email from the follow-up the same day.

Questions people ask

What should a volunteer orientation include?
Your mission and why volunteers matter, what each role involves and how much time it takes, safeguarding, confidentiality and safety, expenses, who to contact, and a buddy and first shift for each person.
How long should volunteer training be?
A first orientation of 60 to 90 minutes works for most roles, followed by on-the-job training with a buddy. Roles with children or vulnerable adults usually need extra training.
How do you run a good volunteer meeting?
Keep it short and practical, thank people by name, share one story of the difference they made, and ask for their ideas. Volunteers stay when they feel heard.
