In short

A change control board (CCB) is the group that approves or rejects changes to a controlled baseline such as drawings, specifications or a schedule. This 60-minute agenda reviews engineering change requests one at a time with an impact matrix and a vote, then records conditions, owners and the effective point for each decision.

What's inside

By the end of this meeting, every change request on the docket has an impact assessment and a recorded decision: approved, approved with conditions, rejected, deferred or sent back. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Circulate the docket and each change request with its impact assessment at least two days before the board.
  2. 2Take safety and regulatory changes first, then by impact. Send incomplete requests back rather than debating them.
  3. 3Walk every row of the impact matrix for each request; a blank row means nobody has checked.
  4. 4Vote on each request separately. Agendiq's summary records each decision with the votes for the change log.
  5. 5Close only when every approved change has an owner and an effective point, and tell requesters the outcome the same day.

Questions people ask

What does a change control board do?
It reviews proposed changes to a controlled baseline, assesses their impact on cost, schedule, quality and safety, and decides whether to approve, reject or defer them, keeping a record of each decision.
What is an engineering change request?
A formal request to change a released design, drawing, specification or process. It describes the problem, the proposed change and the reason, and the CCB assesses its impact before deciding.
Who sits on a change control board?
Representatives of the functions a change affects, such as engineering, quality, production or construction, procurement and the project manager, with a chair who has decision authority.
