In short

Construction closeout is the work between substantial completion and final payment: finishing the punch list, handing over documents, commissioning systems and settling the money. This 90-minute meeting agenda works through the closeout checklist item by item, gives each an owner and a date, and finishes with a lessons learned board and vote.

What's inside

By the end of this meeting, every closeout item has an owner and a date, and the team has recorded the lessons it will carry to the next project. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Hold it as substantial completion approaches, with the owner, architect, contractor and key subcontractors.
  2. 2Bring the specification's closeout list and run the meeting as a checklist: punch list, documents, commissioning, money, permits.
  3. 3Give every open item an owner and a date, and keep disputed scope on a separate list.
  4. 4Save the last 25 minutes for lessons learned while people still remember the details.
  5. 5Send the summary as the closeout tracker and review it weekly until final payment.

Questions people ask

What is on a construction closeout checklist?
Punch list completion, operation and maintenance manuals, warranties, record drawings, attic stock, commissioning and test reports, owner training, final inspections and occupancy, lien waivers, final change orders, retainage and final payment.
When should the closeout meeting happen?
As substantial completion approaches, so open items can be planned before the contractor demobilizes. Review the tracker weekly until final payment.
How do you run a lessons learned session in construction?
Ask everyone to write specific things to repeat or change, group them, vote on the most important and turn the top few into changes for the next project's standards.
