In short

A construction progress meeting is the weekly site meeting where the superintendent and every trade foreman review safety, schedule and upcoming work. This 60-minute agenda starts with a hazard question each crew answers on their phone, goes trade by trade through a three-week look-ahead and ends with a readiness vote and owned actions.

What's inside

By the end of this meeting, every trade knows this week's hazards, has committed to its three-week look-ahead and has named what it needs from whom. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Hold it at the same time each week on site, led by the superintendent, with every subcontractor's foreman.
  2. 2Start with safety every time, and make the hazard question something each crew answers from their phone.
  3. 3Go trade by trade through the schedule, then spend the biggest block on the three-week look-ahead.
  4. 4Settle shared resources (crane, hoist, dock, laydown) in the room.
  5. 5Finish with the readiness vote and send the summary to every trade the same day.

Questions people ask

What should be on a construction meeting agenda?
Safety, last week's open items, schedule status by trade, a three-week look-ahead, coordination of shared resources, issues holding up work, and action items with owners.
What is a three-week look-ahead?
A short-term schedule showing the work each trade plans for the next three weeks, with the constraints that must be cleared first. It's updated every week.
How is a site progress meeting different from an OAC meeting?
The site meeting is run by the contractor with the trades and focuses on daily work. The OAC meeting brings in the owner and architect to deal with RFIs, submittals, changes and payment.
