What's inside

By the end of this meeting, attendees have heard the keynotes, joined two breakouts and had their questions answered, and the organizers know what landed. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Set the times around your venue's start and catering slots; the sample runs eight hours from registration to reception.
  2. 2Give each breakout room its own copy of the agenda so every track has a timer, polls and Q&A.
  3. 3Take keynote and panel questions on phones so the moderator can pick the most asked ones.
  4. 4Keep breaks to at least 20 minutes; room changes and coffee lines always take longer than planned.
  5. 5Close with a one-word pulse check, and use the summary to see which sessions drew questions.

Questions people ask

What should a conference agenda include?
Registration, a welcome, keynotes, breakout sessions with rooms and speakers, breaks, lunch, a panel or plenary, closing remarks and any networking events, each with a start time.
How do you plan a multi-track agenda?
Run tracks in parallel time slots with the same start and end times, so people can switch rooms. Leave at least 10 minutes between sessions for room changes.
What's the difference between a conference agenda and a conference program?
The agenda is the schedule. The program is the printed or digital guide attendees carry, which includes the agenda plus speaker bios, session descriptions and the venue map.
