What's inside

By the end of this meeting, every segment starts on its cue, every crew member knows their next move, and the show ends on time. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Fill each segment's note with its cues by department (lights, audio, video, stage) and the person responsible.
  2. 2Rehearse with the timer running so presenters feel how long their segment really is.
  3. 3On the day, the stage manager runs the timer and calls cues; every crew member follows the same live clock on their phone.
  4. 4When a segment runs long, decide at once what gets cut later in the show, and tell the host.
  5. 5Share the run of show with the crew, presenters and venue at least two days before.

Questions people ask

What is a run of show?
A detailed, timed document for a live event listing every segment in order with its start time, length, who is on stage and the technical cues. The stage manager uses it to call the show.
What's the difference between an agenda and a run of show?
An agenda tells the audience what happens. A run of show tells the crew exactly how: timings to the minute, cues for each department and who is responsible for each move.
Who uses the run of show?
The producer, stage manager, AV crew, hosts and speakers, and the venue. Everyone works from the same version, ideally with the same live clock.
