What's inside

By the end of this meeting, every vendor and helper knows what happens when, the couple stays on schedule without watching the clock, and nothing important gets squeezed out. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Build the day backwards from the ceremony start. This sample assumes a 4 pm ceremony starting the timeline at 1 pm.
  2. 2Share the timeline with every vendor at least a week ahead, and put each vendor's cues in the notes.
  3. 3Give the coordinator or a trusted friend the timer to run on the day, so the couple never has to look at a clock.
  4. 4Build buffer into photo blocks; they are where weddings fall behind.
  5. 5Put the QR code for wishes on a sign at cocktail hour; you'll have every message in the summary the next day.

Questions people ask

How do you make a wedding day timeline?
Start from the ceremony time and work backwards for getting ready and photos, then forwards for cocktail hour, dinner, toasts, dances and the send-off. Add buffer to photo blocks and share it with every vendor.
How long is a typical wedding reception?
Usually four to five hours including cocktail hour. This template gives one hour to cocktails and about four hours to the reception.
What goes on a rehearsal dinner agenda?
A welcome from the hosts, dinner, a few short toasts, gifts for the wedding party and a quick run-through of tomorrow's timings and meeting points.
