How to run it

  1. 1Send the agenda, the treasurer's report and the open volunteer shifts a few days before.
  2. 2Keep reports short so most of the hour goes to fundraisers, spending and volunteers.
  3. 3Vote on each spending request separately so the minutes show what was approved and for how much.
  4. 4Let members sign up for shifts on their phones during the meeting instead of passing a clipboard.
  5. 5Close with dates and owners, and send the summary to parents who couldn't come.

Questions people ask

What does an athletic booster club do?
It supports a school's athletic programs by raising money, buying equipment the budget doesn't cover, running concessions and gates, and organizing volunteers.
Can a booster club credit fundraising to individual athletes?
It's risky for a tax-exempt club. The IRS and the US Tax Court have treated crediting money to individual families' accounts as private benefit. Ask an accountant before setting up any per-athlete accounts.
What should booster club meeting minutes include?
The date, who attended, the treasurer's balance, each motion with who moved and seconded it and the result, and the action items. Agendiq's summary records the votes as they happen.
