In short

A club meeting is a regular gathering of members, usually run by elected officers, to share news and plan activities. This 45-minute agenda keeps reports short and spends the time on an icebreaker, an ideas board members fill in on their phones, a vote on the next activity and a lead for every job.

What's inside

By the end of this meeting, members have picked the next activity together and every part of it has someone running it. The full agenda is drawn to scale above: every block has its own timer when you run it live.

How to run it

  1. 1Send the agenda a few days before so members come with ideas.
  2. 2Keep officer reports to two minutes each; the club is there for the activities, not the reports.
  3. 3Collect ideas on phones, group them, and let members vote on the next activity.
  4. 4Give every job a named lead before anyone leaves, and send the summary to members who missed it.

Questions people ask

How do you run a club meeting?
Start on time with a quick icebreaker, keep officer reports short, spend most of the meeting planning activities with members, and end with clear jobs and the next meeting date.
What are good club meeting ideas?
Let members pitch them: guest speakers, skill swaps, socials, service projects, competitions and trips. Collect ideas on an anonymous board and vote, so the club picks what it actually wants to do.
What should club meeting minutes include?
The date, who attended, the treasurer's balance, any motions and votes, and action items with owners. Agendiq's summary records them as the meeting runs.
